Business phone service - 7 Key phone Features Every Business Should Have

Below is a list of the top 7 phone features every business should have. If you would like more information on these features or how to get them for your office give us a call

1: Find me/follow me call routing

What It Is: It's a feature that enables incoming phone calls to be received by different phones at the same time. When a certain virtual number is dialed the system routes the call through to a number of user-specified phone numbers that may receive the call.

Why You Need It: This is a great feature for those who are out of the office often and will need to receive calls while on the road. It can help to ensure that you're always connected to your customers whenever they need you.

2: Voicemail to email

What It Is: This feature allows you to have your voicemail messages directed to an email account through a WAV file as an audio attachment.

Why You Need It: It's an incredibly convenient way of being able to listen to your voicemails, especially when you're out of the office. You're able to have the email sent directly to your cell phone so the instant somebody has left a voicemail message at your office you'll be able to listen to it through our cell phone and respond. It also allows you to store your voicemails in files, in case you need them for future reference.

3: On hold music

What It Is: It's a feature in which you can select different music to play over your line for when a caller is on hold.

Why You Need It: It's a great tool for not only giving the caller something to listen to but for allowing the caller to know that they're still on hold. Often times a silent tone will leave the caller wondering if their call is still connected but with on hold music they'll know they're certainly still on the call.

4. Auto attendant

What It Is: Also sometimes referred to as a virtual receptionist, the auto attendant is an automated operator  that allows customers to be automatically transferred to the extension they're seeking without the need for a real operator/receptionist.

Why You Need It: It can save you both time and money by being able to direct callers to the party they seek without having to go through one or more other parties. This can free up time for your receptionist/operator or even eliminate the need for one altogether.

5: Conferencing

What It Is:  Conferencing is a feature that allows you to talk to several people at the same time during a call. It can be set up so that everyone in the called party is able to talk, or that the called party is only able to listen.

Why You Need It: Being able to involve more than one listener in a call is the best way to communicate effectively and efficiently. It's a great option for client meetings, sales presentations, training classes and communicating with employees that may be in different locations. It saves you time in having to relay important information to other parties and ensures the information is always correct.

6. Do not disturb

What It Is: A feature that allows you to press a button to prevent incoming calls from making your phone ring. This feature allows you to direct those calls to another preassigned extension (like an assistant) or to a prerecorded message, voice mail or a busy signal.

Why You Need It: Getting interrupted when you are working on a task is a major drain on productivity. Being able to work on a task without interruptions allows employees to be efficient with their time.

7. Ident-A-Call/Distinctive Ring

What It Is: This service allows you to set specific ringtones to specific phone numbers. So when a phone number you have selected as important calls your office it gets a different ring tone that other calls.

Why You Need It: This is excellent for staff to be able to identify when their spouse or child is calling in case of emergency. In addition, each employee can set special ringtones for their most important work contacts that they need to answer quickly to (ie. their manager, the president, a key customer or supplier etc.).
